Developing an Automated, Streamlined Onboarding System to Accommodate 60,000 Employee Applications Phase I

Upon completing a Proof of Concept the decision, made jointly by IT and Operations, further supported the company’s need to ensure compliance and auditability.

Jorge Quintana, Labor Finder’s CIO, needed to develop a standardized electronic employment application and have that become a part of an automated onboarding process. With more than 100,000 people applying each year, the magnitude of that challenge could be daunting without automation. Not having a mechanism to enforce hiring policies can lead to applicants improperly completing applications that could subsequently result in fines being levied against Labor Finders. In addition, there are a number of other compliance requirements that need to be addressed by Labor Finders and its franchisees. The system the company selected would need to establish an audit trail that could demonstrate both government compliance and franchisee compliance.

Quintana also wanted to integrate a new portal with his existing systems, some of which are proprietary. From inception, he wanted a BPM tool designed with APIs. Understanding the needs of his franchisees and wanting to facilitate rapid adoption, Quintana also wanted a user interface that would look familiar and be comfortable for them.

“We had to decide how we were going to do process flows and business logic. I researched products that met my primary requirements of price, robustness, being developer-friendly and that offered APIs,” stated Quintana. After completing the initial research, Quintana talked to a number of vendors and developed an RFP. Three companies were short-listed and ultimately BP Logix Process Director was selected. “The head of our software development team liked the developer-friendly interface of Process Director. I personally appreciated the support we received throughout our evaluation process – and that was further validated when I spoke to BP Logix customers,” he added.
