Ranked as one of the world’s top patent-producing companies, NEC Labs researchers work full time on projects that involve next-generation technology. Managing and documenting the IP that becomes part of patent submissions, technical reports, or abstracts for papers is critical to the Labs. To do so more effectively required an automated document management workflow system that would provide electronic workflows and routing, electronic signature technology, minimize delays and make tracking more visible.
Evaluating Automated Document Management Workflow Systems
The company began looking for an automated document management workflow system solution and made its decision six months later. During that time, they defined the current processes to ensure that all functionality could be maintained, while also documenting the new functionality desired in a more state-of-the-art solution. He then began to research document management system products.
Palnitkar used the web to identify automated document management workflow system products and followed up on recommendations from a NEC Labs business development manager and from Gartner, Inc. He spoke with the incumbent vendor of the legacy system to see what it could then offer, as well as investigating options with a custom development company. Ultimately, he determined that the document management workflow system needed by NEC Labs was an off-the-shelf commercial product, supported by a responsible company and with an established and satisfied user base. Since NEC Labs’ IT group does not have its own programmers, they wanted to be able to customize a document management workflow system that did not require heavy programming talent.
NEC Labs selected Process Director BPM software and workflow management software – then imported and transformed data from 15,000 documents and 20,000 records to the new system, capturing 17 years of research and storing it within Process Director’s repository. Researchers on deadline now know the status of all release approvals while administrators can track all documents instantaneously. Management can now report on project status across facilities and research groups.

Process Director Is A Core Business System
Protecting intellectual property (IP) is a major concern for the laboratories that are part of NEC’s global research infrastructure. With labs in Japan, Europe, China and the United States, NEC’s mission is to impact the needs of both the research and high tech industry through programs that focus on technology research and early market validation in support of NEC’s core businesses.
Process Director BPM software is now used to capture and track all of the Lab’s intellectual property – what is written, what is released to outside conferences, and all follow-up activities, making Process Director a core business system for the Lab. Since intellectual property is so critical to what the researchers achieve, the new document management workflow system is called the “IP Document Management system.”
